Hybrid Team Building Event for Salesforce

The Brief

Salesforce wanted to run one team building event for employees taking part from several locations at the same time.

There were 251 participants in total:

• San Francisco: 130 people across 20 teams
• Indianapolis: 14 people across 2 teams
• São Paulo: 25 people across 4 teams
• Buenos Aires: 22 people across 4 teams
• Virtual: 60 people divided into teams

All 251 participants would be playing simultaneously, with 191 people across four offices and another 60 joining virtually.

We chose Level Up and adapted the delivery for a hybrid format, including a mixture of general content and Salesforce-specific questions.

Preparing the Different Locations

Before the event, our Event Managers carried out tech checks with the participating offices, checking Google Hangouts, conference-room audio and video, and access to the event platform.

On the day, everyone joined the same live event. Our Event Managers welcomed the participants, delivered the Level Up briefing and got the teams started.

The San Francisco, Indianapolis, São Paulo and Buenos Aires groups played in teams from their respective offices.

The 60 virtual participants were divided into teams of five or six and used Google Hangouts breakout rooms while they played.

One Level Up Event for 251 People

Teams worked their way through Level Up by answering questions, solving puzzles and completing challenges.

Salesforce-specific questions were included alongside the general Level Up content, giving the client an element of customisation without creating a completely separate activity.

The physical and virtual teams played at the same time, with our Event Managers hosting and supporting the event throughout.

What Salesforce Said Afterwards

The feedback from the Salesforce Programme and Event Manager was short and to the point:

“Thanks soooo much, they loved it!! We'll definitely look at re-doing it!”

Planning a Hybrid Event Across Multiple Locations

For a hybrid event like this, we need to know how many people will be together at each location, how many will join remotely and what technology is available.

That allows us to plan the teams, delivery format and pre-event tech checks around the actual setup rather than treating the remote participants as an add-on.

For Salesforce, that meant one Level Up event for 251 people across San Francisco, Indianapolis, São Paulo, Buenos Aires and a virtual group.
