A Day In The Life Of The Head Of Conference & Event Management at Dynamic Events

Hi Lauren, how long have you been working with Dynamic Events? 

Myself and Dynamic go way back! I first started working with Dynamic during my summers off in college, so if my calculations are correct, I’m going to say that was the summer of 2017! 

As part of my college degree, I was required to take on a 9-month placement, so of course I returned to the team in dynamic to undertake this in 2018 where I was promoted to Assistant Project Manager after a few months in. 

From here, I went straight into my full-time position as Project Manager only a few days after finishing my final exams for my degree in 2019, and the rest you could say is history! 

Can you tell us about a typical day as a Head of Conference & Event Management in Dynamic Events? 

No two days are ever the same for me in this role, which is one of the many reasons I love it. However, my day-to-day tasks generally fall into a few key categories:

The onsite bits... 

Venue Site Inspections 
One part of my job involves conducting site inspections. This means walking through potential venues with clients, planning out every detail of the event, from audiovisual (AV) setups to décor, entertainment, and logistics. I also check out new or newly refurbished venues to ensure I have an up-to-date understanding of all options available for upcoming events.

Managing Events 
For some of our larger events, I’ll be onsite on the big day to oversee operations alongside our ops team. Watching months of planning unfold and seeing all the hard work come together is always a proud moment!

The office bits... 

Sales and Proposals 
A significant part of my role revolves around generating and responding to conference and event management inquiries. I work closely with clients to understand their vision, source the perfect venue, liaise with suppliers, get creative with added elements, and build cost proposals. After submitting the proposal, it’s often a back-and-forth process to finalise the details and secure the contract.

Meetings 
My diary is usually packed with online meetings. These might be client meetings to discuss project progress or internal meetings to brief our operations team on upcoming events. I also meet with directors to review major projects and ensure everything is on track. 

The other bits... 

In addition to my main responsibilities, I also love organising social outings for Team Dynamic, decorating the office for the holidays, and keeping our Operations team on their toes!

What are your highlights so far from your time at Dynamic Events? 

There have been countless highlights throughout my time with Dynamic Events. Some of the most memorable moments have been winning big event bids, watching the Conference and Event Management department grow, and seeing Dynamic Events compete for major business in the industry.

One particularly special moment is when months of planning come to life at an event. Seeing guests' reactions as they walk in and knowing we’ve nailed every detail is an incredible feeling!

Do you have a favourite event that you were involved in? 

It’s hard to choose just one! However, one standout event was the Careline Young Movers Conference in April 2022. After three postponements due to COVID-19, it was such a relief to finally welcome 250 international delegates to Ireland.

Another recent highlight was working with TikTok on their first in-person event in Dublin—a massive opportunity for Dynamic Events.

What advice would you give to anyone thinking of joining the event management industry? 

The event management industry is fast-paced, so be prepared! It’s also incredibly fun, and no two events are ever the same.

My advice:

  • Be adaptable: Learn from each event—both the positives and the challenges—to improve your next one.
  • Stay creative: Always strive to be unique in your offerings. This will help you stand out in the industry.
  • Work as a team: No event is a one-person show. Build strong relationships with your team because they’re the backbone of every successful event.
