They’re one of the worlds leading aircraft leasing companies, with a focus on modern commercial jets and a reputation built on strong financial performance and deep customer relationships. Every minute one of SMBC Aviation Capital's aircraft takes off or lands somewhere in the world. Behind the scenes, they’re just as intentional about taking care of their team as they are about supporting their global clients.  

So when they moved into their new home at Fitzwilliam 28 in 2024, they wanted to make use of the new location in a way that felt relaxed and thoughtful. A corporate lunch for their staff that was local, meaningful and simple to enjoy.

Since moving into the new office they became members of Fitzwilliam Square, a private green space shared only by its neighbours and planned a business lunch in the park for their team.  

But even small events come with big challenges.  

The Pressure Behind the Scenes  

While the event itself sounded simple, lunch outdoors with great food, here’s what SMBC were juggling behind the scenes: 

• Restricted venue access: The park is private. Each gate needed to be managed to prevent uninvited access and special permission was needed to operate inside. 
• Multiple moving parts: From catering to toilets, benches to signage every element had to be timed and delivered in a park that has no power, water or toilet facilities 
• Park access logistics: Vehicles could only enter through one narrow gate, which was blocked by a heavy iron arch that needed removal and reattachment. 
• Busy internal week: SMBC had other events going on that week. Their team was stretched, and this could have easily become a distraction or burden. 

How We Helped: Seamless Planning, Start to Finish 

This is where we came in, not just to manage the event, not just to manage the event, but to take it off their plate.  

Our job was to make this feel easy and enjoyable for SMBC’s team, while protecting the guest experience and navigating all the behind the scenes challenges.  

Here’s what that looked like in practice: 

✔️ Early start, all access: 

• We arrived on-site early to collect the three gate keys and open the north gate after the iron arch had been removed. 
• We sealed off the other three entrances with signage and cable ties to ensure privacy and manage expectations or regular park users. 

✔️ Full event logistics coordination: 

• Oversaw the delivery and placement of: 
• 30 picnic bench sets 
• 2 Village Market food stalls 
• 3 portaloo units 
• Pod tables from SMBC’s offices 
• Clean up crew, bins and ground protection 
• Managed all supplier access through the tight gate, coordinating with Dublin City Council for reserved parking. 

✔️ Focus on great experience: 

• Created a relaxed, festival style layout on the grass 
• Provided music via a SMBC speakers connected by our team on-site 
• 300 food portions with drink included, all served over two hours for a smooth flow 
• On-site staff managed guest needs and made sure things ran like clockwork 

✔️ De-rig and reset: 

• Once the event ended at 4pm, we handed all the takedown and left the park exactly as we found it. 
• Fitzwilliam Square reinstated the iron arch after we were fully cleared. 

The Transformation  

Before: 

Overloaded internal teams. A nice idea (lunch in the park) that felt complicated to execute. Venue rules. Permits. Parking headaches. A risk of disruption and stress.  

After: 

A bright, relaxing afternoon where 300 employees could step outside, eat well, chat in the sun and enjoy a warm welcome to their new office location, with zero distractions from their day to day work.  

The Results 

✅ 300 happy attendees 
✅ Seamless setup and takedown 
✅ No disruption to the park, the neighbours or the work week 
✅ Fully managed permits, supplier coordination and logistics 

But more than that, it showed SMBC’s team that they’re valued. And that appreciation doesn’t always need to be formal. Sometimes, a well run business lunch outdoors is the perfect gesture
