Microsoft AI Conference Event Management at Museum of Literature Ireland

The Conference Brief

Microsoft contacted Dynamic Events while planning a learning conference event for university lecturers and education influencers. They needed a reliable event management partner who could take full ownership of the logistics, manage suppliers, coordinate the venue and ensure a polished delegate experience from arrival to closing session. The priority was a smooth, high standard delivery that reflected the expectations of a global brand.

Our Role

We managed the entire event management process, covering venue sourcing, onsite planning, supplier coordination and full conference operations. This included scheduling site visits, managing project meetings, creating name badges and supporting speaker logistics. We also organised catering, security, a photographer and full AV with staging. Registration and guest flow were handled by our onsite event manager and her team.

Challenges

The focus of the project was operational excellence. Microsoft required:

• A suitable Dublin city venue that could support a professional conference environment
• A clear and efficient event registration process for invited delegates
• A dependable AV setup that supported presentations without risk of interruption

Keeping these three areas aligned under one project plan was essential for the success of the day.

The Event

The conference took place at the Museum of Literature Ireland with fifty invited in attendance. Our team arrived early to oversee all supplier setups, manage AV checks, coordinate signage and prepare the space for a seamless delegate journey. Registration opened on schedule, catering service ran smoothly and the venue layout allowed for straightforward movement between sessions. All operational elements were supervised onsite by our event manager.

Results

The event was delivered to Microsoft’s required standard with no disruptions. AV ran smoothly, registration was efficient and the venue layout worked exactly as planned. All suppliers operated under a single coordinated schedule, and the day concluded without delays. The project demonstrated Dynamic Events’ ability to manage conferences of any scale with a strong focus on logistics, quality control and attendee experience.
