NCSC Cyber Security Conference & Expo | Conference Event Management Case Study
See how Dynamic Events managed the NCSC Cyber Security Conference & Expo in Dublin, coordinating three stages, high-profile speakers and over 700 delegates.
Dynamic Events worked with the National Cyber Security Centre (NCSC) to deliver the Cyber Security Conference & Expo at The Convention Centre Dublin.
The event brought together approximately 700 delegates, including cybersecurity professionals, government representatives, policymakers and industry experts, to discuss key issues facing the cybersecurity sector.
The speaker line-up included Henna Virkkunen, Executive Vice-President at the European Commission, Minister Catherine Ardagh, Tom Duff-Gordon, Vice-President and Head of EMEA Policy at OpenAI, and Juhan Lepassaar, Executive Director of the EU Agency for Cybersecurity (ENISA).
With three conference stages, a dedicated Cyber Expo and a packed programme of presentations, panel discussions and workshops, the event required careful planning and coordination across multiple areas of the venue.
Having managed previous NCSC conferences, Dynamic Events was familiar with the client's requirements and the demands of the event. Our team looked after conference planning, speaker coordination, AV production, branding, event technology and on-site management.
The Challenge
The main challenge was managing a large conference with several sessions and activities taking place at the same time.
With three conference stages running alongside the Cyber Expo, each area needed its own schedule, technical setup and on-site support. Speakers had to be in the right place at the right time, AV teams needed clear running orders, and delegates needed to be able to move between sessions without confusion.
The conference also featured high-profile speakers and government representatives, which added to the importance of clear communication and well-organised speaker arrangements.
Bringing all of this together required close coordination between Dynamic Events, the NCSC, The Convention Centre Dublin and the various suppliers involved.
Our Approach
Conference Planning and Coordination
Dynamic Events worked closely with the NCSC in the lead-up to the conference, holding regular planning meetings to review progress, discuss requirements and make sure everything was in place.
Our team coordinated suppliers, event logistics, conference running orders, branding and signage, working with the NCSC and the venue throughout the planning process.
Managing Three Conference Stages
With three stages operating throughout the day, we needed a clear management structure to keep the programme running smoothly.
Dynamic Events assigned a dedicated team member to each conference area, covering the main stage, second stage and workshop sessions.
Each team member managed their room's running order, coordinated speakers and worked with the AV team to prepare for upcoming sessions. This gave speakers and suppliers a clear point of contact and helped keep the programme running to schedule.
Speaker Coordination and Event Production
The conference programme included presentations, panel discussions and workshops featuring government representatives, cybersecurity specialists and industry leaders.
Dynamic Events coordinated speakers and worked with AV suppliers to prepare each stage for its scheduled sessions.
On the day, our team managed running orders, speaker movements and stage operations across the three conference areas.
With sessions taking place simultaneously, communication between the room managers, speakers and technical teams was particularly important.
Event Website and Conference App
Dynamic Events also built a dedicated website and event app for the conference.
The website gave delegates a central place to find conference information, while the app made it easy to follow the programme and access information throughout the event.
Through the app, delegates could check session times, view speaker profiles, browse the delegate directory and find information about exhibitors.
The app also included live polling and an Ask a Question feature, allowing attendees to participate during sessions.
These tools gave delegates access to the information they needed without having to rely solely on printed programmes or signage around the venue.
Branding, Registration and On-Site Management
Dynamic Events coordinated the conference branding and signage throughout The Convention Centre Dublin.
Our team also supported delegate registration and check-in alongside NCSC staff, helping attendees on arrival and responding to queries throughout the day.
With conference sessions and exhibition activity taking place across different parts of the venue, our team was positioned throughout the event spaces to manage the running orders, support speakers and coordinate with suppliers.
This ensured there was a dedicated point of contact in each area throughout the conference.
The Cyber Expo
The conference also included a dedicated Cyber Expo, where delegates could meet organisations working across the cybersecurity sector.
Dynamic Events assigned a dedicated team member to manage the exhibition area as part of the wider event.
The Expo ran alongside the conference programme, giving attendees an opportunity to speak with exhibitors and explore the organisations represented.
The Results
The NCSC Cyber Security Conference & Expo welcomed approximately 700 delegates to The Convention Centre Dublin for a full programme of presentations, panel discussions, workshops and exhibition activity.
With three conference stages and the Cyber Expo running alongside one another, Dynamic Events coordinated the different elements of the event, from speaker management and AV production to delegate support and on-site logistics.
The NCSC expressed very positive feedback to our team on the day, reflecting their satisfaction with the delivery of the conference.
The event marked another successful collaboration between Dynamic Events and the NCSC, continuing an established working relationship.
